Motorhome Rental Terms & Conditions
Effective October 10, 2026. These terms apply to every Production Zone motorhome rental and are part of each order submitted through this website or signed in person.
1. The agreement
“Production Zone,” “we” and “us” mean Production Zone (also doing business as Media 2-Way Radio). “Client” and “you” mean the production company named on the order and the person who signs it on the company’s behalf. By submitting an order or signing an invoice, you agree to these terms. The person signing confirms they are authorized to bind the production company.
2. Booking
- Submitting an order is a request. Your dates are reserved only after Production Zone confirms availability in writing.
- Requests are confirmed in the order they are received.
3. Rates and hours
- Day rate: $1,300 per day, which includes a professional driver for 10 hours, WiFi, a private changing area with a garment steamer, a makeup station and an office area.
- The 10-hour day begins at your scheduled call time and ends when the motorhome drives away from your location.
- Overtime: $140 per hour, beginning 10 hours after call time, billed in half-hour increments ($70 per half hour). Any part of a half hour is billed as a full half hour.
- If the motorhome is ready at call time and the production starts late, the clock still starts at call time.
- For multi-day bookings, we understand that call times may be different each day. Each day’s call time must be confirmed in writing with Production Zone the day before the shoot day, and each day’s 10 hours start at that day’s call time.
4. Fuel, generator and propane
The following additional costs are billed on actual use at the end of the job, in addition to the day rate:
- Vehicle fuel and drive mileage: premium-grade fuel for all miles driven to, from and during the job, measured round trip from our base, billed at the current fuel price.
- Generator fuel: 2 gallons per hour of generator use, at the current premium fuel price. Generator time is measured from when the generator is turned on (usually at drive-off — the generator and A/C/heat will be on while we’re on the way, so it’s comfortable upon our arrival) until it is turned off.
- Propane (refrigerator and heaters): 1 gallon per hour of use, at $5 per gallon.
The online order form shows an estimate of these costs based on your location and estimated hours on set. The estimate is for planning only; your final invoice reflects actual miles, hours and propane used.
[Travel: jobs more than ___ miles from our base may include a travel fee of $___. Overnight jobs require driver lodging and per diem of $___.]
5. Payment
- Payment (rental total plus additional costs) is due at the end of the job upon receipt of invoice. The invoice must be paid and signed the same day.
- Payment is accepted by check payable to Production Zone for the full amount due, or by ACH bank transfer.
- With approval, we can send an electronic invoice payable by credit card with an additional 3.25% fee. Card invoices must also be paid the same day as invoiced.
- [Late payment: balances not paid within ___ days incur a late fee of ___% per month or $___.] [Returned checks: $___ fee.]
6. Cancellations and date changes
- [Cancellation within ___ hours of call time: ___% of the first day’s rate is due.]
- [Date changes: one reschedule to a new date within ___ days is allowed at no charge, subject to availability.]
- If we must cancel for reasons within our control, we will notify you as soon as possible and you will not be charged for the cancelled days.
7. Insurance
Additional Insured & Loss Payee: Production Zone LLC
A certificate of insurance (COI) must be uploaded to your order at least the day before call time — with your order form or at productionzonerentals.com/upload-coi — and must include:
- General liability, $1,000,000 minimum.
- Hired and non-owned automobile liability and physical damage coverage, $1,000,000 combined limit.
- Production Zone LLC named as Additional Insured and as Loss Payee.
We may delay or cancel delivery if an acceptable COI has not been received. Download the insurance checklist (PDF) to send to your broker.
8. Use of the motorhome
- Only our driver may operate or move the motorhome.
- No smoking [or vaping] in or near the motorhome.
- The door must be kept closed at all times to prevent strain on the AC and heater.
- [Maximum occupancy: ___ people at one time.]
- [No pets, except service animals.] No illegal substances, open flames, candles or space heaters.
- Do not attach tape, adhesives, hooks or fasteners to any surface, or rearrange or remove furniture or fixtures.
- Our driver may stop or refuse any use that is unsafe or violates these terms.
9. Cleaning and penalties
- $750 will be added to the invoice for smoking inside the motorhome, plus the cost of fumigation and cleaning.
- $250 cleaning fee if food is left in the refrigerator or freezer, or excessive trash is left in the motorhome and trash bins were not provided.
- [Excessive wear, makeup, hair dye or spills on upholstery or carpet will be billed at actual cleaning or replacement cost.]
10. Damage and responsibility
- Any damage inside or outside the motorhome resulting from the client’s use, including by cast, crew, talent and guests, is the client’s sole responsibility and will be billed at actual repair or replacement cost[, including loss of rental income while the motorhome is out of service].
- Production Zone is not responsible for personal belongings, wardrobe, props or equipment left in the motorhome.
- The client agrees to indemnify and hold Production Zone harmless from claims, losses and expenses arising from the client’s use of the motorhome, except those caused by Production Zone’s own negligence.
11. Location, parking and permits
- The client is responsible for providing a safe, legal, reasonably level parking location with clear access for a [___-foot] vehicle, and for any parking permits, location fees or police/fire requirements.
- Parking tickets, towing or fees incurred at the client’s chosen location are the client’s responsibility.
- Our driver may decline a location that is unsafe or inaccessible. Time lost because of location access problems is billable.
12. Breakdowns, weather and events outside our control
If the motorhome becomes unavailable or unusable because of mechanical failure, accident, severe weather or other events outside our reasonable control, we will make reasonable efforts to provide a replacement. If we cannot, our liability is limited to a refund of amounts paid for the time the motorhome was not available. We are not liable for lost production time, crew costs or other indirect damages.
13. Driver hours and safety
Our driver must take legally required rest and may refuse to drive in unsafe conditions. Shoots requiring more than [___] hours in a day may require a second driver at additional cost.
14. General
- These terms, the rate sheet and your signed order or invoice are the entire agreement. Changes must be in writing.
- These terms are governed by the laws of the State of Texas. Any dispute will be handled in the courts of Fort Bend County, Texas.
- If any part of these terms is found unenforceable, the rest remains in effect.
